Overview

Overview

This report is a version of the ID174 Contract Record Change alert that specifically reports on contracts in e-automate that are linked to agreements in ConnectWise via ID964. If an update is made to the contract by a user in e-automate, and the contract has been linked to an agreement in ConnectWise by ID964, that change will trigger this report. Changes made by ID964 will also trigger this report; you'll see the Updator ID as CJID964 for any changes made by the ID964 sync.

The Excel spreadsheet will contain a maximum of six worksheets: Summary, Contracts Updated, Contracts Created/Terminated, Contract Items Updated, and Contract Items Created/Terminated. If there are no changes for any of these categories, then the tab will not be present on the spreadsheet.

The alert will only send when changes have been made to the contracts in the past 24 hours. The report will start reporting as of the date it is installed and will not retroactively report on changes to the contracts.

You will receive an email with an attached Excel spreadsheet. The spreadsheet will contain up to five tabs:

Summary - Notes the branches included in the report, and the number of changes for each category.

Contracts Updated - Contract header information updated on the contract.

Contracts Created/Terminated - New contracts created and contracts that have been terminated.

Contact Items Updated - Items on the contract that have been updated.

If no changes exist for the tab, it will not be included in the spreadsheet.

Variables

Variable W: Branch Numbers - To have the report trigger only for certain branches, enter the branch numbers separated by commas. By default, the variable is set to Consolidated, which will include all branches.

Variable X: New and/or Existing Contracts - Enter 'New' to report only on newly built contracts, 'Existing' for only changes to existing contracts, or 'New & Existing' for both.

Alert Functionality

1. We are not able to provide you with historical data on changes to records from before the day we install our alert because e-automate does not store this information from which we can pull. Once we install the alert, we start building our own comparison table to be able to report back to you.

2. Workbook will only contain a worksheet for each section IF there are changes/additions to report on. If no qualifying records for that worksheet (i.e., Contracts Created or Terminated or Contract Items Updated), then no worksheet in the workbook.

3. This report ONLY reports on contracts that are linked to ConnectWise agreements by the ID964 Agreement Sync. If the contract was not created by ID964 or never updated by ID964, then it will not show on this report.

5. The alert can be cloned, so you can have more than one subscription going to send to different recipients based on different variable/filter settings. VariableW MUST be different between clones; otherwise, the clones will NOT send.
