ID451 - Active Contract Equipment Meter Contact Review Overview & Sample:

This alert notifies you when equipment that is active on a service contract has a meter collection contact method or contact information that may need to be verified.

Overview

This alerts reviews equipment that is active on active service contract to determine if the meter request method and contact are set up correctly. When preferred contact method of the meter contact is email, the alert will validate that the email is there and formatted properly. When preferred contact method of the meter contact is fax, the alert will validate that the number in the fax number field is there and listed properly. When preferred contact method of the meter contact is phone, the alert will include this equipment on its report because it assumes that phone is not the proper contact method as that is not best practice to call before using automated request tools.

Variable W: enter "Allow" for the alert to consider 7-digit fax numbers validly formatted. Leave blank to have the alert include 7-digit fax numbers on the alert output.

1. This alert reviews equipment that is active on a contract, which is verified by the Contracts/Leases tab on the equipment. In the screen shot below, this equipment is actively on contract #27105-01 as there is no end date and the contract appears when the 'show only current contracts' box is check marked.

2. Next, it validates if there is a Meter Contact present on the Billing/Contact tab

3. Next, it reviews that Meter Contact for preferred contact method. In the screen shot below, the contact's preferred method is Email. Highlighted in the screen shot shows where the Phone, Fax and Email preferences and information is stored.

Scenarios that the alert includes in its output report:

  • Preferred Contact Method is Phone
  • Preferred Contact Method is Fax and there is no fax number listed, or is it not properly formatted as XXX-XXX-XXXX (or XXX-XXXX if Variable turned on)
  • Preferred Contact Method is email and there is no email listed or it's not properly formatted as 'contact@thecompany.com'

Best Practices & Tips

It is best practice to have all, if not most, of your customers set as a preferred contact method of email. This allows for you to use the E-Agent meter requests task and automate the collection of meters from those contacts. Using fax or phone as preferred method are last resorts when customer has refused to receive emails from you.
