ID553 - Note Types used on Invoice to Approve Or Deny A Void Request, Overview & Sample

If you are using an internal process where your Accounts Receivables team need to request approval (or receive a denial) when they want to void an invoice, then this process can automate these requests. It would be done by using a specific 'noteype' on the invoice notepad (the notepad icon on invoices). While ID552 is the AR Team/users original request for their manager to approve or deny, ID553 is the process for which the manager sends out their approval or denial. The creator of the original requesting note will be sent the email along with whomever you specify in the To/Cc/Bcc boxes of subscriptions.

Variables:

These are the default variables indicating the NoteType you will use for the approve/deny process. If you want to use different note types, you will need to create those (see below), and ensure your subscription is updated with the correct notetype name

Creating Note Types:

In eAuto, under Tools / Lists and Codes / Note Types, create the note type and select which users have access to these notes, as shown below:

Managers Approval:

When manager is ready to approve or deny the request, they would go to the invoice and edit, click the yellow note pad icon in bottom left corner, enter a note against the appropriate note type for either approved or denied from the drop down, click QuickAdd, then OK ARNotes.png
