Why Power BI?
Why Power BI?
We evaluated many Dashboards over the years and watched as Microsoft improved Power BI. For return on investment, we believe that Power BI reporting is the best option available. Reports can be shared in Teams channels, and once loaded in Microsoft's cloud, can be viewed anywhere. Mobile device support is also excellent.
For more details on Power BI, see this extensive article.
Most of our processes are "exception reports" where we report a specific issue that needs to be addressed. Some things, however, are better in a dashboard for a quick real-time snapshot. For example, with Power BI you can research your Sharp Segment 3 costs compared to your Canon Segment 3. You can also see how callbacks for a specific technician have been trending over the last two years or how your numbers compare to the SBA Model. There is so much more, and you get to decide what your business needs!
Consumers of Power BI Reports access them within the Microsoft environment just like any other app (i.e. SharePoint). Nothing special is needed for these consumer's workstations, their Office365 user will just need to be assigned a Power BI Pro License.

Power BI Setup
Power BI Setup
Power BI does require initial setup via your IT Department in your Microsoft Office environment. CEO Juice is happy to work with your IT Department (for no additional charge) in getting Power BI in place, or we can manage the Power BI setup process for you. See the links below for specifics on the setup needed for each scenario:

VPN connections are not recommended for users as they are VERY, VERY slow. A user could wait an hour or more for data to refresh/process only to come upon an error. It is better to install Power BI Pro on a local server that users can then access via cloud service.

Power BI Licenses
Power BI Licenses
1. Anyone wishing to use a Power BI Report will need an Office365 Power BI Pro license which is $10 per month and has a 60-day free trial. (You may already have a few Pro Licenses included in your Microsoft package.)
2. One Office365 user needs to be designated as the administrator for Power BI Reports and that user also needs a Pro License. We will use that user to facilitate everything Power BI. We suggest using one of your Office365 admin accounts or creating one just for administering (i.e. powerbi@yourdomain.com) to ensure everything doesn't need to be re-done if today's Power BI administrator wins the lottery tomorrow.

We also have this guide with an overview of the different licensing options.
It's essential to note that Microsoft may update its offerings and subscription plans over time, so we recommend consulting the official Microsoft website or contacting Microsoft sales representatives to confirm the current offerings and which subscription plans include free Power BI Pro licenses.

Accessing via Teams
Accessing via Teams
You can set your Power BI files so users can access them via Microsoft Teams, see this link on how to set this up.
Once setup, users will be able to access the Power BI app easily through Teams:
Scheduling Reports
Scheduling Reports
The majority of the CEO Juice Power BI reports are set to only refresh once per day. These reports depend on CEO Juice background tables that are refreshed every night with data from your e-automate database. Due to this, there's no reason to have the Power BI report refresh more than once per day as no new data would be pushed to the report.
Please be sure to set refresh times between 4 AM - 8 AM your time and DO NOT schedule any one data set to refresh at the same time as another. This ensures our nightly background processes have been completed, which is required for refreshed data to be pushed into your reports, and that the refreshes are completed before the start of the business day.
You can view the scheduled refresh time for each report from within the workspace. Click on the Next Refresh column to sort by the Next refresh time.
Note that only the Semantic model type in the workspace has a refresh schedule set, the Report type will not have a refresh date set.
There are three CEO Juice reports that can be scheduled to refresh up to 8 times per day:
-
ID517/Sales Order Insights
- The refreshes for this report MUST be set to refresh at the top of the hour (i.e. 6:00, not 6:30).
- ID754/Serialized Inventory
- ID777/Service Call Board Summary
Other notes on scheduled refreshes:
1. ID517/Sales Order Insights will NOT refresh immediately, so best to not attempt refresh from Power BI Desktop. Let it refresh 45 minutes after you publish to the workspace as we have background tables that will auto-install and run automatically.
2. ID772 requires you be subscribed to ID806/Inventory Turns. The refresh will error out if you are not already running ID806. This refresh will also NOT work until the day after you subscribe to ID806.

Metrics
Metrics
In Power BI, metrics are a way to track and assess specific business goals or performance indicators. This allows users to curate and track progress against key objectives in a centralized, collaborative way. Scorecards in Power BI are data-driven dashboards designed to provide a snapshot of key performance indicators, metrics, and targets within your organization.
See the two links below for helpful articles on how to create these metrics and link them to your Power BI reporting:
