ID321 - Alert on Last Contract invoice if Overage or Underage is Greater than/Less than Base Overview & Sample:

This alert will review last contract invoice billed for usage and alert if the actual usage is greater than Variable W % of the Base copies and/or if the underage is less than Variable X % of Base Copies for that contract.

Overview

This alert reviews contract overage invoices billed in the last 7 days to determine how far over or under the contract's allowances the actual usage billed went. In the Variables of the alert, you can control the threshold of usage over/under the allowances that you are notified on as well as if you want the alert to include invoices that billed zero usage.

Variable Y: either set to 1 or 0. A '1' means include invoices where counted copies greater than 1, '0' means report all invoices. 

Variable W: set the % for overages to allowance to include on the alert. If you don't want to check for overages put 999.

Variable X: set the % for underages to allowance to include on the alert. If you don't want to check for underages put 999.

This alert locates overage invoices billed in the last 7 days in your database and reviews the percentage of billed usage versus prepaid allowance. The examples below explain how the overage and underage percentages are calculated. 

Overage: (6,952 Usage - 6000 allowance) / 6,000 allowance = 16%

Underage: (209 Usage - 2000 allowance) / 2000 allowance = (90%)

It is important to be aware of contract invoices that billed far over or under the pre-paid allowances. This insight allows for your admin and sales teams to be aware of any contracts that may be potentially over or under contracted. Additionally, this can be a great tool for catching potential billing errors that may not have been caught during the billing process. Review the alert's findings as soon as possible to correct any errors before customer catches them or pays the invoice.
