Overview

This alert notifies you when your dispatcher has entered a service call and dispatched a technician for equipment in your system that is on a service contract that is set to expire soon. This is looking at the contract that the equipment is actively on, and not necessarily the contract listed on the service call itself. Usually this will be the same contract, but in rare cases it may not be. 

This alert is helpful in managing how much labor and parts are put into a machine on which service coverage may be expiring soon. This alert is geared towards helping you manage your rental agreements so that you do not place parts into the machine if you will be picking it up soon and possibly disposing of it or using for parts. However, you can use this alert to be notified on all types of contracts.

Variable W: Enter how many days prior to contract expiring you want this alert to trigger for. The default value is 90. 

Variable X: Enter all contract types as they appear in your database that you want to be alerted on and separate them by a comma. You can leave blank for all contract types.

1. Alert reviews the dispatched service call to determine the equipment record linked to it.

2. Next, the equipment record is reviewed to determine if it is actively on a contract or not. In the case below, it is on contract 29841-01 that expires 9/30/23.

Note that the contract expire date showing on the equipment record pulls from the expiration field on the contract as listed below.

3. Next, the alert determines if the number of days between the service call date and contract expiration date are within the days you set in Variable W. 

4. Next, the alert determines if the Contract Type is one you have listed in Variable X.

5. If the criteria in steps 2, 3 and 4 are met then the alert will fire and notify your company.

Best Practices & Tips

Best Practices & Tips

Best practice is to have the service manager and/or dispatcher receive this emailed alert. From there, they can determine how the service and parts should be approached for the call and notify the technician. They may also notify the technician ahead of the service call and require that they report back what is needed and request approval first before servicing or placing parts into the machine.
