Overview
Overview
This version of ID90 was created specifically for Konica equipment; clients have informed us that the alert can also be used for HP equipment. Getting dollars back for parts that don't meet warranty is the most obvious ROI for our services. We have many clients where we flag over $100k per month, and our average is $35k.
The alert will only trigger once on each item, the alert will fire for calls that are either marked Complete or have been invoiced.
Run Schedule: Every 15 minutes
Type of Output: Email

Variables
Variables
Variable W: Text or Email Notifications - Text or Email when To Tech selected on subscription (Text=send to Tech text address, REGARDLESS of whether you're sending e-mails to techs. Email = Do not send text msg)
Variable X: % Target - % (Pct) within specified Yield (enter as decimal 80% = .8). Sets alert to fire when yield is at this % setting or lower.
Variable Y: Custom Property - Days from Replacement - Custom property at the Item or Make level (Item overrides Make if present) for Warranty Day from Replacement.
Variable Z: Custom Property - YPP - Custom property on item record to designate items covered under the YPP program (Yes/No).
Variable 3: Custom Property - Days from Install - Custom property at Item or Make level for Warranty Days From Install.
Variable 1: Make(s) - Name of makes in your e-automate that represent Konica or HP. Separate multiple makes with commas.
Variable 2: Service Code Category(ies) - Service code categories of items to trigger on, separate multiple options with commas or leave blank for all. Valid options are P, S, H, or O.
Variable 5: Service Code(s) - Service codes containing click-independent parts, generally covered by KM's long-term warranty that includes boards and drivers.

Alert Functionality
Alert Functionality
ID919 identifies parts that may be covered under Konica's warranty. We have also been told that the format of this alert can work with the HP warranty program. This alert requires some up-front work to set the custom properties (and perhaps to re-arrange your Service Codes) to make it work. There are two Custom Properties (Variable Y and Variable 3) which must be set at the MAKE level for all Makes representing Konica machines, and one Custom Property (Variable Z) which must be set at the ITEM level to identify parts covered on Models in the YPP program.
This alert fires only for Makes as specified in Variable1 of your subscription. The standard ID90 alert will ignore any Makes listed in the ID919 Variable1. The column 'Trigger Action' on the emailed output indicates which condition triggered the alert.
This alert is one that auto-deploys; it will not have anything to report on until the custom properties are created and populated.

Item Yield
Item Yield
The yield on the item used by ID919 is set here:
When determining if a part qualifies for ID919, the process takes this yield times the percentage set in variable X to get the 'Target Yield' for the item. (Copy yield is 10,000, Variable X is .9, the Target Yield = 9,000) This number is compared to the actual yield based on the number of clicks between when the part was installed and when it was replaced.
Item is Returnable
Item is Returnable
The alert considers a part to be returnable when the Returnable box is checked on the item record:
ID919 will always report on parts that have this option checked. In the email received, you'll see 'Core Item for Return' in the Core Return column.
Service Code Categories
Service Code Categories
There are only four service code categories in e-automate; you are not able to add or edit these:
H: Hardware
O: Other
P: Part
S: Supply
One service code category is assigned to each service code in e-automate:
You can use Variable 2 to specify that ID919 only checks items with a service code set to a particular service code category.
Service Codes
Service Codes
You can specify the alert to only trigger on specific service codes, this can help if using the service code categories is too broad to trigger only for the items that may be included in the warranty.
The service codes are found in Tools - Lists and codes - Service Codes:
Makes
Makes
This alert fires only for Makes as specified in Variable 1 of your subscription. The standard ID90 alert will ignore any Makes listed in the ID919 Variable,1 so you can have both alerts running without duplicates.
The equipment record on the service call must have a make that is included in Variable 1.
Make/Item Custom Property
Custom Property - Days from Replacement
The custom property set in Variable Y is used to set the number of days that a part should last from the replacement date. The default name for this property is ZCJKonWtyDays. Konica's warranty covers parts for three years, so you will set this custom property to be 1,096. This custom property should be set at the make level.
Make Custom Property:
This custom property was included because KM might alter their program from the current format to something more granular. At present, KM's warranty program does not specify FromReplacement at the Item level; the single setting at the Make level covers everything, assuming your parts are properly organized.
Konica YPP Program
Custom Property - Konica YPP Program
The custom property specified in variable Z determines which items are included under the Konica Yield Protection Program (YPP). The custom property should be maintained at the item level and set to Yes for all parts covered under this program.
Item record:
Make/Item Days from Install
Custom Property - Days from Install
The custom property named in variable 3 specifies the parts that are covered in the machine from the installation date. The default name for this custom property is ZCJKonFromInstDays. This custom property should be maintained on the make record. Konica covers all parts for the first 90 days, so this custom property should be set to 90.
Make Record:
This custom property was included because KM might alter their program from the current format to something more granular. At present, KM's warranty program does not specify FromInstall at the Item level; the single setting at the Make level covers everything, assuming your parts are properly organized.
Trigger Actions
Trigger Actions
The ID919 logic is very similar to the logic in ID90, with a few tweaks specifically for how Konica Minolta handles warranty returns. The Trigger Action column on the email alert will notify you which of the following conditions caused the alert to trigger.
1. Does the item fall under the Yield Protection Program (YPP)?
This program, which applies only to certain (mid-range) models, covers certain items that fail to meet their yield if you also purchased them within the last three years. These items are tracked by setting the custom property specified in variable Z to Yes. The assumption is that these parts can only be used on models that qualify for the YPP program. When this custom property is set to Yes, the alert will trigger when the yield on the item does not meet the target set based on the percentage in Variable X. The alert assumes you've bought one of these parts in the past three years and does not check the last purchase date.
Expand to Show Trigger Action Sample: YPP Trigger - MfgTarget at VarX%: MfgYield * VarX %
Item has ZCJKonYPP custom property set to Yes:
Copy yield on part: 5,000
Percentage set in Variable X: 0.95
Previous Call: SC705188 on 2/7/25, meter reading 2,370,500
Current Call: SC705203 on 4/15/25, meter reading 2,372,125
Calculations:
MfgYield * Variable X % > Actual Yield (Current meter reading - Previous meter reading)
5,000 * .95 > 2,372,125 - 2,370,500
4,750 > 1,625
Trigger notification: YPP Trigger - MfgTarget at: 95%: 4,750
2. Does the item fall under the Three-Year Warranty?
Certain parts, for instance, boards and drives, are covered for 36 months from the date installed at the customer, assuming the equipment itself was purchased from Konica less than 39 months ago. (Rumor has it they don't check the 39-month number most of the time, so you should not limit your warranty submissions based on that date.)
The alert considers all parts set with one of the service code categories set in Variable 5 and calculates the days since that part was last replaced, or if never replaced, the days since that equipment was received by you. It compares this number against the value you've entered into the ZCJKonWtyDays custom property at the Make level (currently, the program allows claims up to three years, so you should enter '1,096'). If the part has been in place for fewer days than this value, the alert triggers. The alert does NOT consider the 39-month value, although the receipt date of the equipment is posted in the alert output for your review.
Note: If you can't identify these parts by ServiceCode without ALSO identifying a lot of parts which don't qualify for the program, this Custom Property can be created, set, and maintained at the Item level.
Expand to show trigger action sample: Make Wty Days: XX days since Eq recd XX:
ZCJKonWtyDays: 1096 **Set on Make for equipment on service call.
Equipment Received date: 01/01/2025
Service Call Completion Date: 04/15/2025
Calculation:
The difference between the Service Call Completion Date and the Equipment Received Date is less than or equal to the value in ZCJKonWtyDays
104 >= 1,096
Trigger notification: Make Wty Days: 1096 days since Eq Recd: 104
Expand to show trigger action sample: Item Wty Days: XX days since Eq recd XX:
If the value is present at the item level, that value will trump the value set at the make level.
ZCJKonWtyDays: 365 **Set on item record for part on service call.
Equipment Received date: 01/01/2025
Service Call Completion Date: 04/15/2025
Calculation:
The difference between the Service Call Completion Date and the Equipment Received Date is less than or equal to the value in ZCJKonWtyDays
104 >= 365
Trigger action: Item Wty Days: 365 days since Eq Recd: 104
3. Is the part covered under the Install Warranty?
Konica covers all parts in all their machines for 90 days from install-at-customer-site, assuming the equipment in question was purchased from Konica less than one year ago.
The alert looks at the date you received the equipment and calculates how many days it has been since receipt. It then looks to the value in a Make level Custom Property as entered into Variable3 of your subscription (currently the Konica program covers for 90 days so you should enter '90'). The alert does not consider the 1-year-since-purchase value, although, as above, the receipt date of the equipment is posted in the alert output for your review. Best practice for Konica Eqp is First-In-First-Out, so our experience is that this date is rarely a problem.
Expand to show trigger action sample: Make Prev Installed Wty Days: XX days since last use: XX
Previous Call with part: 12/26/2024
Current Call closed date: 4/15/2025
ZCJKonWtyDays: 365 **Set on Make for equipment on service call.
Days since last use: 110
Calculation:
The days since last used is less than or equal to the value in ZCJMakeWtyDays set on the make.
110 >= 365
Trigger notification: Make Prev Installed Wty Days: 365 days since last use: 110
Expand to show trigger action sample: Item Prev Installed Wty Days: XX days since last use: XX
If the value is present at the item level, that value will trump the value set at the make level.
Previous Call with part: 12/26/2024
Current Call closed date: 4/15/2025
ZCJKonWtyDays: 520 **Set on Item level for part under consideration for warranty.
Days since last use: 110
Calculation:
The days since last used is less than or equal to the value in ZCJMakeWtyDays set on the make.
110 >= 520
Trigger notification: Item Prev Installed Wty Days: 520 days since last use: 110

Best Practices & Tips
Best Practices & Tips
1. You should review your part record items in e-automate to ensure all parts with a yield are set up correctly. You can use alert ID189 for a weekly list of parts missing a yield or ID571 that reports on items with incorrect or missing yields.
2. The alert DOES NOT look to the InstallDate posted to the Eqp Record because we have found many clients either do not use this field or use it for other/multiple purposes (for instance they re-set the InstallDate every time the machine is moved to a new location or a new customer as it comes off-lease). The alert also DOES NOT look to the WarrantyDate posted to the Eqp Record for similar reasons, although we have ID443 and ID561, which do so.
